We price our services according to the number of bartenders you will need at your event, which can vary greatly according to the level of service you require.
It is possible for one bartender to serve up to 100 guests at an open bar with basic wine and beer selections. With cocktail service, transactions, and larger beverage selections, that number drops to less than 50 guests per bartender. Providing you with the best service at the lowest possible price is our goal.
What does the added 30 mins of set-up time before the event entail?
The bartender(s) arrive 30 mins before serving time to ensure they are organized in the bar space and familiarized with the liquor provided by the client. This way, there is a greater success for a smooth start!
The bartender(s) will clean up and tidy the bar area during their spare time, including -put all alcohol together, and in some cases, clear excess bottles, cans, cups left behind by guests before they leave. Swigs bartenders do not assist in carrying alcohol and drinks to vehicles after the event.
When should last call be?
If service ends, for instance, at 12:30am, then the last call will be at 12:00am.
How much ice should we buy? How do we calculate the amount of ice needed? Is it possible for Swigs to buy the ice and what's the extra cost for that?
Yes, you, the client, provides all ice, drinks, mixes, garnishes and everything needed for your bar with original quote. Check with your venue to make sure there will be enough freezer space to hold as many bags of ice you need for your event. Most venues have an idea of how much ice their freezers can hold.

Swigs will provide ice service upon request and availability. We typically use Arctic Glacier brand 2.3kg bags and charge $5.00 per bag (up to 30 bags) with a $40 delivery fee with a Swigs booking. It is up to the client to provide number of bags needed for their quote and will require instructions upon arrival of where it will be placed such as a kitchen freezer or coolers located by the bar.
Can we add/subtract serving hours closer to the date if we are not totally certain of the hours required? How would you like me to proceed if I am unsure of exact times? Can the times be slightly modified, for instance, up to 30 days before the event?
Absolutely! Swigs will initially need a rough estimate of timeline to secure a bartender for your date. We use those times to create our invites for the bartenders and keep bookings organized. If the time change request is significantly larger, or shorter than the original time request on the booking, we may find a new bartender or additional bartenders to facilitate your request. Swigs has 10 bartenders that require notice, the sooner, the better. We take changes in timeline up to 7 days before the event date.
Do Swigs bartenders provide and/or use machines for taking card payments?
Swigs does not provide machines, however, we can use machines for payment provided by the client. Most are straight forward such as Square machines, but it is suggested to provide instruction upon bartenders arrival or in email beforehand of expectations.
Note: Tips through machine transactions for the bartenders will be subtracted from bar cash before bartenders leave. It is up to the client to make sure this happens and arrangement for payment through e-transfer will be at the discretion of the bartender.
Will Swigs be able to help with the type of cocktails to serve? Does Swigs have a recommendation of Cocktail/Mocktails to serve during cocktail hour?
Absolutely! Just ask if you would like a few of our favorite and most popular recipes! If you have your favorites, please share how you like them made. After all, this is your event and we want to make sure we make your faves the way you love them :)
How do you calculate the total of alcohol/garnishes/soda/juice needed?
We use an online alcohol calculator: Alcohol calculator for a wedding in Canada in 2023 (with prices) (wedding-calculator.com). We find this is pretty accurate but you know your guests best!
Rule of thumb: 1 cup, per guest, per hour
Does Swigs supply items such as drink tickets, cash box, cups, blender, mobile bar (or folding table) and Coolers?
Unfortunately we do not. Our bartenders do not have the vehicle space to provide large items and we leave it up to the clients for all other items. Our bartenders only supply the bartending kits with tools to aid with their bartending service. We suggest checking out companies such as Good Time Party Rentals for such items.
Can we help display/set up pre-mixed alcohol in drink dispensers and bins/buckets with beer displayed for guests to grab and go?
Yes, but there needs to be a bartender attending them at all times and needs to have a label indicating what is in it. If these items need to be prepared ahead of time by the bartenders, ask to adjust the serving time accordingly for appropriate amount of prep time.
How soon before the event will you need to know if we decide on a cash bar or tickets?
You can let us know up to 7 days before the event. Remember to book enough bartenders for accepting payment and selling tickets, as this tends to slowdown service. It is recommended to add an extra bartender if deciding to switch from a Host/Open bar to a toonie bar or cash bar may result in slower service. Any changes are suggested to go though Swigs to provide you with the best service possible.
Insurance?
Swigs is insured! However, it is up to the Client to provide the proper insurance needed for their event coverage. We suggest, if using a venue, asking the venue what is required for coverage. We suggest going through PAL Insurance: Contact (palcanada.com). There is a Calgary number at the bottom of the page on their website if help is needed to walk you through the process.
Do we, the Client, provide all the Garnishes/Soda/Juices/Alcohol/Ice?
Yes. Swigs Bartending only looks after the service side of the bar. Also, we can prep your garnishes for you :)
Can the bartender(s) display welcome drinks for guest arrival plus Wine Service and additional requests?
Yes, just ask to add extra time before guests arrival (more time depending on size of event), and we will be happy to pre mix those drinks for you and have them displayed for your guests!
If you would like drinks premixed and ready for Bride and Groom (or honored guests & VIPs) before grand entrance (and wedding party too), announcements, and toasts, just make sure to mention in the instructions and timeline provided. Also include such instructions as wine service at tables, or wine opened and placed on tables prior to reception.
Note: if you only book 1 bartender, some requests may not be accommodated due to bar demand.
Should we place cans in buckets with ice? How should we keep our drinks cold?
Placing canned and bottled beverages in galvanized buckets will use a lot of your ice up, so not recommended outdoors or for long period of time. It is important to ask your venue about available fridge and freezer space or supplying your own coolers for behind the bar.
Do you suggest the purchase of plastic cups?
Yes, we find that once the party starts, and throughout the evening, glass breakage is at an all time high! Swigs is not responsible for cleaning broken glass, should the clients choose to use them. Clear plastic cups can be found at stores such as Walmart and Real Canadian Wholesale Club. If glassware is used, bartenders will clear them and put in designated wash bins provided by client. If required and requested by clients upon booking, bartenders will put wash bins through industrial washers. If no industrial washer is available, bartenders will not clean dirty glassware.
Would you be able to assist us with the AGLC application?
Yes! Here is the website link: Liquor licences | AGLC. Once we receive your signed contract and payment for booking on our end, we will be sending a confirmation email that also includes the link to AGLC and it will guide you through the steps to obtain a liquor license for your type of event. There should be a number to call if you have any question and in order to ensure you have everything done right.
Note: if your event is being held at a private residence, you do not need a license. This includes a temporary private residence, such as a trailer or campsite.
